Contributions Representative
Position Type: Full-Time/Nonexempt
Reports To: Contributions Supervisor
Hours of Operation: Monday – Friday 8:00-5:00
City: Anchorage
Minimum Salary: Depending on Experience
Job Description and Primary Functions:
- Audit and process Contributions: Audit and process hours and monthly contributions received from employers for employee benefits. Reconcile employer payments with reports, ensuring familiarity with terms of collective bargaining agreements and special agreements. Verify contribution rates and ensure monthly payments are accurately entered into the system.
- Data Management: Download employer’s reports from our employer reporting platform and import them into our system.
- Update Systems: Update Excel templates and the employer reporting platform whenever benefit rates change.
- Billing Management: Send and track billings/credits for under/over payments and late payments.
- Employer Communication: Contact employers to obtain necessary documentation for contribution reports. This includes making phone calls and drafting letters or emails to gather required information.
- Financial Assistance: Assist in posting, balancing, and concluding the month-end closing process.
- Customer Service: Answer employer and participant questions regarding contribution status, reciprocity, eligibility, and other issues.
- Participant Support: Answer participant questions regarding their H&W & Legal Hour Bank & eligibility.
- File Maintenance: Assist with the maintaining participant files, employer contribution files, and agreement files.
- Compliance: Ensure compliance with HIPAA privacy policy and confidentiality requirements.
- Reciprocity Contributions: Process incoming and outgoing reciprocity contributions from other Local Unions.
- ERTS System Support: Assist participants with the ERTS system (Reciprocity).
- EPR Live Support: Assist Employers on EPR Live
- Additional Duties: Perform other duties as assigned.
Qualification Requirements:
Education: High school diploma or equivalent.
Skills and Experience:
- Strong math skills
- Excellent attention to detail.
- Basic computer skills; experience with AS400, and online services is a plus.
- Good working knowledge of Microsoft Word, Excel, and Outlook.
- Excellent customer service skills.
- Strong interpersonal, written and oral communication skills.
- Team player with self-motivation, excellent attendance & punctuality.

Pension Representative
Position Type: Full Time/Nonexempt
Reports to Position: Pension Supervisor
Hours of Operation: Monday – Friday 8:00-5:00

Job Description and Primary Functions:
- Customer Service: Answer inquiries and correspondence related to pension benefits and the pension fund. Provide comprehensive advice on what options a participant has.
- Data Management: Maintain records on “active” plan participants and “retired” plan participants, Verify hours reported, vesting of benefits, reciprocity, pro-rata reciprocity, forfeiture of pension benefits.
- Retirement Processing: Calculation of retirement benefits, processing monthly retirement income checks and Retirement Savings Plan distributions, and answer inquiries regarding retiree HRA.
- Benefit Management: Send letters and track status for under/over payment of benefits.
- Participant Support: Responding to inquiries regarding death benefits, life insurance, beneficiary H&W coverage, divorces, division of benefits calculations, and pension attachments, (i.e., QDROs, IRS levies, child support).
- File Maintenance: Assist with the maintaining participant files, check register files, and agreement files.
- Administrative Assistance: Assist in regular mail runs, special mail outs, and return mail.
- Compliance: Ensure compliance with HIPAA privacy policy and confidentiality requirements.
- Additional duties: Perform other duties as assigned.

Health and Welfare Supervisor

Reports To: Administrator
Hours of Operation: Monday – Friday 8:00-5:00

Job Description and Primary Functions:
- Supervise staff of Health and Welfare Representatives and Health Management Coordinators (workload allocation and management, scheduling, preparation of employee reviews, discipline, interview and hire new candidates as needed, etc.)
- Act as a Liaison between AETF and JCA (Aetna and Zenith)
- Review weekly, monthly check runs from Aetna and Zenith
- Oversee the management of inquiries and correspondence related to H&W benefits, payment status, covered benefits, eligibility and other issues for Plan participants and their dependents.
- Review and audit Disability check runs and ensure that disbursement of checks for Participants are paid in a timely manner.
- Coordinate & review the production of the Quarterly Newsletter.
- Perform in-depth review of participant appeals to ascertain whether the appeal may be resolved at the Administrator level. Prepare and present appeals to Appeal Committee. Send determination letter to participant to relate the decision of the Trustees.
- Coordinate with Zenith-American Solutions stop-loss filings.
- Coordinate with Attorney’s, Participant etc. regarding subrogation cases. Produce payment ledgers as requested.
- Act as a compliance officer as it relates to HIPAA privacy policy and confidentiality
- Work with Administrator to implement plan changes due to Trustee direction or changes in regulations
- Review and when necessary assist in updating the Health & Welfare Plan SPD;s
- Act as a point of contact for venders such as, but not limited to: Caremark, Aetna, Zenith-American Solutions, Transcarent, Renalogic, VSP, Voya Stop Loss, Primary Care Associates, Dimond Medical Clinic, Wasilla Medical Clinic, Fairbanks Urgent Care, Alaska Regional, Coalition Clinic, Pacific Health Coalition etc…
- Rotate opening and closing procedures for the office, and act as a backup for other departments when necessary.
- Attend quarterly Trust Meetings.
- Perform other duties as assigned
Qualification Requirements:
Skills – Minimum two years experience with employee benefits in an employer setting that utilizes multiple employee benefit programs. Experience in a position that requires acting in an advisory capacity with participants; extensive interaction with various departments; and independent decision-making. Strong interpersonal, analytical, and communications skills required.
